How to use Qumuna announcements clearly

By Qumuna Editorial Team · Reviewed by Qumuna Product Review

Use announcements for information the community needs to notice, not for every conversation. Give each update a specific title, required action, deadline, and link to the right discussion or event.

Short answer: Qumuna announcements are broadcast posts for community updates. They can be marked normal, important, or urgent, support acknowledgements and emoji reactions, and can include images. Use them to establish a clear source message, then send discussion or event activity to the appropriate section.

What belongs in an announcement

Good uses include a changed meeting time, a maintenance notice, the opening of a consultation, a published decision, or a deadline members should know. An announcement should answer four questions quickly: what changed, who is affected, what they need to do, and by when.

Avoid using the urgent level merely to increase attention. If every post is urgent, members cannot tell which notices require immediate action. Agree on simple local definitions for normal, important, and urgent messages and include those definitions in the handbook.

Write for scanning and action

  • Put the concrete subject in the title, such as “Meeting moved to 7:30 pm on Thursday.”
  • Open with the action or change, then add context.
  • Use headings and short paragraphs when the update is longer.
  • State dates, times, locations, and deadlines explicitly.
  • Describe meaningful images in the surrounding text and provide alternative text where the authoring surface offers it.

Use acknowledgements carefully

An acknowledgement can show that a member has actively marked a notice as read. It does not prove understanding, agreement, or completion of an offline action. Say what the acknowledgement means in the post, especially when administrators will use it for follow-up.

Connect the announcement to the next workflow

If members should discuss the update, link to a discussion. If they should attend, link to the event. If they should answer structured questions, link to the poll. This keeps the announcement concise while giving participation a suitable place.

Before publishing

  1. Confirm the audience and community are correct.
  2. Check names, dates, links, and contact details.
  3. Remove personal information that the whole audience does not need.
  4. Preview the first paragraph on a small screen.
  5. Name the person or role members should contact with questions.
