Using Qumuna for associations and clubs

Associations and clubs can use Qumuna to organize member notices, committee work, events, documents, polls, and role-based administration without making one chat carry every task.

Short answer: use Qumuna as the shared operational home for an association or club when members need more than conversation. Keep official notices, discussion, events, reference files, polls, and committee spaces separate, then link them around each activity.

Design around the membership journey

Start with joining, orientation, participation, and departure. Decide how invitations are approved, where members find current rules, how events are announced, where questions belong, and who updates access when a role ends. Qumuna supports email invitations, shareable invitation links, CSV import, member roles, and suspension; invited people must accept before joining.

Give recurring work a stable place

  • Use the handbook for rules, committee responsibilities, and “how we work” guidance.
  • Use files and folders for current forms, meeting papers, and reference documents.
  • Use the calendar for sessions, fixtures, rehearsals, meetings, and recurring events with RSVP.
  • Use announcements for changes members need to notice.
  • Use discussions for questions, proposals, and member exchange.
  • Use polls when a consistent response format is appropriate.

Use sub-communities deliberately

A committee, team, chapter, or working group may need its own space. Qumuna sub-communities can have their own visibility, and organisational units can group members and link them to sub-communities. Before creating one, define who should find it, who should see its content, and how important outcomes return to the wider association.

Separate member communication from external publishing

Qumuna announcements serve community members. Qumuna newsletters provide richer issues that members can read; published issues may also be public and emailed to members. External contact-list emailing requires a paid plan and the applicable newsletter add-on. Check the current pricing page rather than copying plan details into standing guidance.

Prepare for volunteer handover

Use individual accounts, assign only necessary permissions, and document who owns each recurring task. Review administrators and moderators after elections or committee changes. Keep current templates and guidance in the handbook or files so a new volunteer does not depend on a predecessor's inbox or device.
